Moving offices in NYC? A coffee checklist for the new office

Moving into a new New York office? When to get in touch about coffee, what your new building will ask for, and how to plan the pantry before the first day.

The short version

Get in touch as soon as you have a move date. A trial usually starts within a week of our first call, and for a new office we install the week before your first day.

Your new building will almost certainly want a certificate of insurance (COI) before we come in. We send a sample for you to pass on.

Plan the pantry while the space is empty: two feet of counter, a power outlet and a fridge for the milk.

When to get in touch

Coffee usually gets sorted in the last week, after the desks, the internet and the keys. It doesn’t need to be.

A free trial usually starts within a week of our first call, depending on which machines we have in stock. For a new office build-out we plan the install for the week before your first day, while the office is still quiet, so the team has coffee from the first morning. The sooner we know the move date and the new address, the easier that week is to book.

What your new building will ask for

Most Manhattan office buildings won’t let a vendor in without a certificate of insurance on file. Building security or the property manager will usually tell you exactly what they need. We send a sample COI you can pass straight to them, which saves a round of emails.

On install day, someone from your office needs to be there to let us in. The install itself takes 5 to 10 minutes.

Planning the new pantry

A move is the easiest time to get the coffee station right, because nothing is in the way yet. The machine needs about two feet of counter and a power outlet. It runs from a water tank, so there’s no plumbing to plan into the build-out, and a fridge beside it keeps the milk where it’s needed.

A moving checklist for the coffee

  • as soon as the move date is set: tell us the new address and the date
  • ask the new building what its COI needs to show, and pass on our sample
  • plan two feet of counter and an outlet in the new pantry, with a fridge beside it
  • decide whether your movers take the machine or we do
  • the week before your first day: install, with someone there to let us in
  • your first morning: the machine is stocked and ready
